Two years of relevant experience. *
Substitution: Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
Duties may include, but are not limited to:
Provide direct customer service to New Yorkers who contact DMV through school media channels.
Update and maintain social media content calendar each weekday.
Oversees Press Office public phone line including ensuring coverage each day, screening calls, taking detailed messages and relaying information promptly to the appropriate Public Information Specialist and assists with gathering specific information from reporters to ensure accurate and timely response to their inquiry.
Gather and distribute daily news clips
Distribute press releases.
Facilitate information gathering for talking points.
Track timely completion of incoming constituent, commissioner, Governor, or legislative correspondence and ensure established protocols for approvals and completion are followed. Close out corresponding buck slips as needed.
Assist with staging display and press conference materials for public events.
Coordinate travel arrangements and process related reimbursement paperwork using the Statewide Financial System (SFS).
Maintain up-to-date media contact distribution lists.
Distribute incoming mail and send outgoing mail, as needed.
Compile data for the purpose of preparing reports.
Maintain inventory of giveaway items and other promotional materials.
Work directly with business unit’s grant administrator to ensure accurate and timely updates to grant.
Work with appropriate business units and staff to procure office supplies and promotional materials, as needed.
Occasional travel for DMV outreach events and opportunities.
Assist with other administrative functions, as necessary.
