JOB DESCRIPTION
Serves as the Executive Assistant to the Chief Operations Officer of the Staten Island Ferry/Deputy Commissioner of the Ferry Division. Is responsible for the administrative work of the Office of the Chief Operations Officer/Deputy Commissioner and provides level high-level support.
EXAMPLES OF TYPICAL TASKS: Oversees office of the Chief Operations Officer/Deputy Commissioner. Greets and manages visitors, answers incoming telephone calls, takes messages, and directs calls; provides accurate information to other agencies and public entities. Manages calendars including permits, conference rooms, remote work, and vacation calendars for Senior Staff. and schedules meetings for the Chief Operations Officer/Deputy Commissioner and Senior Staff; Oversees divisional messenger service. Serves as an escort when needed to meet USCG’s security requirements. Receives and distributes mail. Drafts correspondence. Scans documents and makes copies. Serves as the division’s Travel Coordinator. Oversees disbursements and reconciliation of petty cash, Metrocards, and other fiscal work. Processes invoices. Distributes Sea Service letters. Issues permits to potential clients wishing to conduct business within terminals and aboard vessels. Processes requests for action involving the IT&Telecom team, including completing associated documentation. Oversees issuance and maintenance of cellphones and other wireless handheld devices. Maintains office equipment. Coordinates Division Blood Drives and submits donor forms for comp time processing. Orders, receives and distributes supplies for the office. Keeps records and maintains files. Reports to the Chief of Staff. Provides executive support for other division directors and managers as needed. Performs related tasks as needed.
PREFERRED SKILLS
Preference will be given to candidates who are highly organized and have exceptional communication skills, a keen attention to detail, and the ability to maintain the highest level of confidentiality. Must have the ability to be flexible with changing priorities; excellent communication and written skills desired; and thorough familiarity with Microsoft Word, Excel, and PowerPoint.
ADDITIONAL INFORMATION
TWIC REQUIREMENT: Once selected for employment at the Staten Island Ferry, federal regulations require that the applicant must either undergo a federal background check as part of the Transportation Worker Identification Credential (TWIC) program or already possess a TWIC. Minimum Qualifications
1. A master’s degree from an accredited college in economics, finance, accounting, business or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies or a closely related field, and two years of satisfactory full-time professional experience in one or a combination of the following: working with the budget of a large public or private concern in budget administration, accounting, economic or financial administration, or fiscal or economic research; in management or methods analysis, operations research, organizational research or program evaluation; in personnel or public administration, recruitment, position classification, personnel relations, employee benefits, staff development, employment program planning/administration, labor market research, economic planning, social services program planning/evaluation, or fiscal management; or in a related area. 18 months of this experience must have been in an executive, managerial, administrative or supervisory capacity. Supervision must have included supervising staff performing professional work in the areas described above; or
2. A baccalaureate degree from an accredited college and four years of professional experience in the areas described in “1” above, including the 18 months of executive, managerial, administrative or supervisory experience, as described in “1” above.
